This Privacy Policy explains how SpokenWordAI ("we," "our," or "us") collects, uses, stores, and shares information when you use our apps, website, and related services that link to this Policy.

2. Information We Collect

2.1 Account and profile information

  • Account identifiers such as email address and user ID
  • Profile details you choose to provide
  • Support communications you send us

2.2 Content you create in the app

  • Audio recordings, transcripts, notes, tags, and related metadata
  • Photos or files you attach to captures or projects
  • Derived outputs and metadata needed to provide features you enable

2.3 Technical and operational data

  • App and device metadata such as app version, OS version, and error diagnostics
  • Sync, security, and fraud-prevention logs needed to operate the services

3. How We Use Information

  • Provide, maintain, and improve the services
  • Process content and run features you request
  • Provide support, troubleshooting, and security monitoring
  • Comply with legal obligations and enforce our Terms of Service

4. Important Notice About Privacy Features

Privacy and safety features are best-effort and are not guaranteed to be complete or error-free.

  • Automated safeguards can miss, alter, or incompletely handle sensitive information
  • Generated or transformed outputs may contain inaccuracies or incomplete changes
  • You are responsible for reviewing outputs before sharing or relying on them

5. Local Processing and Cloud Sync

Some content may be processed locally on your device. Certain features allow cloud sync and cloud processing.

  • When enabled, we may sync processed content and metadata to cloud infrastructure
  • For supported workflows, we may transfer selected content and related metadata to cloud infrastructure

6. Mobile App Permissions and Device Access

The current SpokenWordAI mobile apps may request the following device access when you use related features:

  • Camera: used to scan pairing QR codes. The live camera preview used for QR scanning is processed on-device for this purpose.
  • Bluetooth / Nearby devices: used to discover, advertise, pair, and reconnect nearby devices that participate in a SpokenWordAI session.
  • Location permission on older Android versions: some Android versions require location-class permissions for nearby Bluetooth scanning. SpokenWordAI does not use that permission to determine your precise location for advertising or analytics.
  • Screen capture / MediaProjection: on Android, screen sharing only starts after you explicitly approve the system capture dialog for a session.
  • Network access: used for pairing bootstrap, session setup, support of connected-device workflows, and related service operations.

7. What the Current Android Build Stores and Sends

  • Paired-device records, redaction preferences, and active screen-sharing runtime settings may be stored locally on the device until you remove them, clear app data, or uninstall the app.
  • Pairing and session setup requests may send device and session metadata such as device name, device type, app version, operating system version, local device identifier hashes, and short-lived pairing/session tokens to SpokenWordAI infrastructure.
  • The current Android test build does not use the live camera preview for advertising and does not continuously upload camera preview frames used for QR scanning.
  • The current Android test build uses Android's system MediaProjection flow for screen sharing. If future Android releases transmit additional captured content to SpokenWordAI services, this Privacy Policy will be updated before that release.

8. Data Retention and Deletion

  • Local app settings and paired-device records remain on your device until you delete them, clear app data, or uninstall the app.
  • Short-lived pairing tickets and temporary session bootstrap records are designed to expire automatically after their validity window ends.
  • If you contact support or provide direct communications, we may retain those communications as needed to respond, troubleshoot, and meet legal obligations.

9. Security Practices

  • We use reasonable technical and organizational measures designed to protect personal and sensitive user data in transit and at rest where we store it.
  • Access to sensitive data should be limited to authorized personnel, service providers, and systems that need that data to operate the service.
  • No method of storage or transmission is perfectly secure, so we cannot guarantee absolute security.

10. Third-Party Processors

We rely on third-party providers to operate parts of the services.

  • Cloud infrastructure providers for authentication, storage, and service operation
  • Automation and language-processing providers for selected product features
  • Billing and payment providers for subscriptions and purchases

11. Cookies and Similar Technologies

Our website may use minimal cookies or local storage for navigation preferences, QR handoff behavior, security, and core functionality.
